Everything you need to know about dashboard, participants and your campaign data

Important notes on data interpretation for Christmas & Advent campaigns

In the Christmas and Advent campaigns, there are many participants — which is fantastic. However, we’ve noticed that our customers are great at thinking outside the box, which sometimes means the setup doesn’t follow Scratcher’s original methods or logic 1:1. As a result, certain data points may carry a slightly different meaning.

For example, if you are not using actual prize pages but instead repurpose them as a “Today’s Offer” page, the data will still register whether a user has “won a prize” (i.e., accessed the page). Technically, this is not a prize, but depending on the setup it can appear as such in the data.

If you are ever in doubt about how to interpret the data or would like a clearer explanation, feel free to send us a detailed email with screenshots and specific questions. We can then arrange a follow-up meeting if needed and review everything together.

Please note: We have added a recurring participant feature (please add it to the overview by clicking on the dots for editing) that can be connected to the overall data overview and shows participants on a day-by-day basis. However, this was implemented midway through December 2nd, which means that data from December 1–2 may be slightly inaccurate. If you need this information clarified, just let us know.

Where do I find the data from my campaign?

You can access your data either by selecting “Analyse” from the menu or by going directly to the dashboard through your campaign. At the top of your campaign page, click the campaign name and then the arrow next to it. From there, choose either “Dashboard” or “Participants.” Both sections are available in the overview, so you can easily switch between them.

How can data points be added?

Remember that some areas require specific setup before the data will appear in the overview. For example, you need to configure button actions and click tracking for them to show up.

Go to the dashboard for the campaign, and then you can add a widget:

  • You can delete a widget using the three dots.
  • You can add the widget you need and set it up according to the specific data you want to display.

What does 'New' vs. 'Existing' participants mean?

Participants are labeled as:

  • New: First-time participants in any Scratcher campaign—useful for identifying new leads.
  • Existing: Returning participants who have engaged with previous campaigns—helps track ongoing engagement.

What are impressions, interactions, and participants?

Our dashboard shows multiple metrics, and depending on your license, you can add more widgets for deeper insights. Key numbers include:

Impressions: People who have seen the campaign.

Interactions: People who clicked on it, but didn’t necessarily complete it.

Participants: All (NEW) people participating in the overall campaign

Recurring participants: Day-to-day participants

You can control the date range using the calendar in the top-right corner to view the most relevant data. You can also export a CSV file to get full details for a specific campaign.

In the exported file, I see many games listed with numbers. What do these numbers represent?

When downloading a file, it is first and foremost important to convert it to the correct format depending on your computer or the program you are using. This is usually done by opening the file and selecting “Export to” followed by the desired file type.

Here you can see how a game shows time and number of attempts in a memory game. In a calendar with up to 24 games, the export file will include all potentially active games. Therefore, it is important to keep Day 1 games for the first game’s results, Day 2 for the second, and so on.

The file also indicates what each value represents, which is especially important if you are drawing a prize among the day’s players. For example, the shortest time recorded might be 19 seconds, and the lowest number of attempts might be 8 — it is up to you how you decide to award the prize.

How do I know if my campaign was successful?

When looking at campaign data, it’s important to keep in mind:

  • Visits vs. completions: Many people may view the campaign without completing it. This is normal and can depend on interest, the length of the form, or the campaign content.
  • Factors affecting results: Promotion, comparison benchmarks, the attractiveness of prizes, the target audience, and whether prizes are actually redeemed can all influence the numbers.
  • Participant diversity: Variation in participant profiles can lead to differences in engagement.
  • Evaluation: A solid level of completed participation is a positive sign, especially for new campaigns.

Tip: Use this data to adjust content, format, and promotion in future campaigns for better results and a stronger basis for comparison - remember to go through this with one from Scratcher if in doubt or for a more depth based feedback.

How many have answered correctly/incorrectly in the quiz

There are two ways to access participant information:

1. Through the dashboard:

Go to ‘Game Data’, where all questions will be available. Please note that the quiz is organized per question, not per day. For example, in a 24-day calendar, the dashboard will display a full overview with each question’s headline and related answers. Each question shows a 100% answer rate, which updates according to the number of responses received.

2. By downloading the CSV file:

For quizzes or games that include points, text fields, or other custom input types, you’ll need to download the CSV to see all participant responses. The dashboard only shows the standard view: name, type, email, creation date, prizes, channels, and actions. If anything appears missing, downloading the CSV is always recommended—even during a campaign test—to ensure all data is captured.

How many participated on the given day?

To see how many participated on a given day, access the dashboard, select the relevant dates (e.g., December 3–4), and then click “Filter based on participation.”

How can I see the total number of participants across the entire campaign as well as the daily breakdown?

Yes, you can access Participants by clicking ‘Analyze’ in the menu or by opening the campaign, clicking the arrow next to the campaign name, and selecting ‘Participants’. This view shows all users who have accessed the campaign, but only if a unique field like email or phone number was added in the form; otherwise, the information won’t appear. “Participants” counts all new users across the entire campaign, not daily activity.

We have added a recurring participant feature (please add it to the overview by clicking on the dots for editing) that can be connected to the overall data overview and shows participants on a day-by-day basis. However, this was implemented midway through December 2nd, which means that data from December 1–2 may be slightly inaccurate. If you need this information clarified, just let us know.

You can also download the full CSV file from this overview.

How do I export a CSV-file?

To ensure the file displays correctly, follow these steps:

  1. Open Excel first – do not open the file directly.
  2. Go to the “Data” tab at the top of Excel.
  3. Select “Get & Transform Data” → “From Text/CSV”.
  4. Choose the file you want to import.

Excel will then load the file, properly formatting the data for review and analysis - please follow the steps here by accessing your dashboard:

Click on Participants, where you will find the ‘Export/Import’ button.

You can select a specific date or leave it empty. In that case, all the required information will be included.

You can select ‘Export winners only’ if you want to view only this part.

Then click on ‘Export’.

The report will be sent to the email address linked to the user you are logged in as. Remember to check your spam folder, just to be sure.

It will look like this — then click on ‘Download report’.

In Excel, go to ‘Data’, then select ‘From Text/CSV’. The data will then be displayed in the sheet.

If you are using Apple, you can simply open the file in ‘Numbers’, and it will display immediately.

You need to remember to specify the day: e.g., Day 2–3 or Day 3–4 (remember which time period is correct to filter by).
